Small business automation checklist

Start with one recurring task that has a clear owner and a result you can check. This checklist helps you decide whether the process is ready for automation and what to verify before you rely on it.

Describe the process as it works today

Write down the trigger, input, steps, destination, and person responsible. Use a real example from the last time the task ran. Record where people copy information, wait for a response, or correct mistakes. If different employees describe different processes, agree on a standard process before building an automation.

Choose a task with a measurable result

A weekly report assembled from approved records is easier to evaluate than an open-ended request to improve operations. Count the current workload and measure the time spent on a few representative runs. Define an acceptable result, including the fields that must be present and the situations that require review.

Test exceptions before release

Try a normal input, missing information, a duplicate request, and a failed connection. Confirm that repeated runs do not create duplicate records or messages. Start with drafts or a review queue. Keep a way to pause the automation, identify the last successful run, and complete the work manually when needed.

Before you start

  • Name the process owner and the expected output.
  • Use only the data and permissions the task needs.
  • Record a baseline for time, volume, and corrections.
  • Test missing data, duplicates, and connection failures.
  • Agree on approvals and a manual fallback.
  • Review actual results after a small pilot.
